This page summarizes practical guidance for clinics, dental hygienists, dental assistants, receptionists, sterilization technicians, and other users who need to understand the workflow, payments, worker classification, and information-handling responsibilities involved in using Fairly.

## Clinic onboarding

To get started as a clinic, create a clinic account at `app.fairlystaffing.com/clinic/register` or use the Fairly Staffing clinic mobile app. We review the clinic information and typically verify an account within about an hour. After verification, you need to add a credit card and basic clinic details before posting shifts.

Keep your account information truthful and current. If your clinic details change, update them as soon as practical. Accurate information helps applicants understand where the shift takes place and what the clinic requires.

## How to post a shift

From the clinic dashboard:

1. Select the date and time that need coverage.
2. Choose the role, such as registered dental hygienist or registered dental assistant.
3. Set the hourly rate.
4. Add the clinic information, shift expectations, and any requirements a professional needs before applying.
5. Review the details and publish the shift.
6. Review applicants and select the professional who fits the shift.

Clinics can post through the web application or the clinic mobile app. Applicants receive notifications and apply through the platform. Keeping the time, role, rate, location, and expectations complete and accurate reduces follow-up questions and helps applicants decide whether the shift is suitable.

After a professional is selected, use the platform to keep the booking and payment details organized. The clinic remains responsible for confirming that the hours worked and pay rate are accurate.

## Temporary professional onboarding

Dental professionals can find shifts through the Fairly Staffing staff app.

During onboarding, you must provide the information required for account verification. Fairly’s verification process includes:

- Submission of a valid practice permit
- Cross-checking with regulatory-body databases
- Identity verification using official documents and liveness checks
- Screening for fraudulent identification through database cross-checks

A professional can view and apply for shifts after verification is complete.

If you use Fairly Payments, you must provide banking information and identity documents.

Keep your professional credentials, identity information, and banking information accurate. Review the shift details before applying, including the date, hours, role, clinic information, and rate.

## Shift and payment practices

Clinics choose the payment method and payment frequency for temporary professionals.

Available payment methods include:

- Fairly Payments
- Email transfer
- Cheque
- Direct deposit

Available payment frequencies include:

- Same day
- Weekly
- Every second week

Confirm the selected arrangement before the shift is completed so both sides understand how and when payment will be made.

Fairly Payments is an optional payment-processing feature. Users may arrange payment outside the platform if they prefer.

When payment is handled outside Fairly Payments, the clinic and professional remain responsible for completing the payment and retaining appropriate records.

### Starter tier placement fee (pay-as-you-go)

For the Starter pay-as-you-go tier:

- The clinic placement fee is **$52 per completed shift**, regardless of shift duration or role type, with a **three-hour minimum**.
- The fee is charged **after the shift is over**.
- There is **no placement fee** when nobody is hired or the shift does not occur.
- If a clinic cancels with **less than 24 hours’ notice** before the shift starts, the **$52 fee applies**.

## Worker classification and payroll compliance

Fairly provides technology that helps employers and contractors connect, arrange work, and manage payments. We do not make employment-classification determinations, provide legal or tax advice, or manage the employment relationship. Clinics and professionals must understand the laws that apply to their arrangement, maintain appropriate insurance, use proper worker classification, and follow employment standards.

### Fairly Payroll for Temps

When a clinic creates a Fairly Payroll for Temps shift and hires a professional for that shift, the professional is treated as an employee of the clinic for that shift.

Fairly Payroll for Temps:

- Calculates, withholds, and remits applicable source deductions to the CRA
- Generates paystub information
- Pays net pay plus vacation pay
- Generates a Record of Employment
- Generates and may file a T4

If Fairly Payroll for Temps is not used, the parties must follow the applicable rules for their arrangement.

For an independent-contractor arrangement, the contractor is responsible for managing and paying their own taxes unless the applicable payroll service is used.

Clinics should obtain professional legal or tax advice when they are uncertain about classification or employment obligations.

### Clinic responsibilities for payroll accuracy and compliance

For payroll, the clinic remains responsible for:

- The accuracy of hours worked and pay rates
- Worker classification
- Compliance with applicable employment standards, including vacation pay, statutory holiday pay, overtime, and termination notice

Review payroll variables before approving payment.

## Privacy and information-handling basics

The platform may process profile information such as a name, username, password, email address, phone number, mailing address, photograph, resume, professional credentials, ratings, completed-shift history, cancellations, and no-show history.

Fairly Connect applicants may also submit resumes, cover letters, and screening-question responses for sharing with employers they apply to.

Payroll may require sensitive information, including a Social Insurance Number (SIN), bank-account details, and TD1 tax-credit information. Fairly transmits this information to its payroll partner for wage calculations, statutory deductions, electronic funds transfers, tax documents, and Records of Employment.

Fairly states that it does not retain the full unencrypted SIN or banking information on its own servers after transmission. The payroll partner retains payroll records as required by law, including a stated minimum retention period of seven years.

Use the platform only for the staffing, payment, payroll, and account purposes for which information is collected. Submit only accurate information and review what you enter before saving or transmitting it.

Do not assume that internet communications are completely secure: the Terms and Conditions state that Fairly makes commercial efforts to secure information but cannot guarantee that electronic communications will be fully secure or reach their destination on time.

## Practical checklist

### Before a clinic publishes a shift

- Confirm the date, start time, end time, role, hourly rate, and location.
- Describe the clinic, equipment, duties, and expectations an applicant needs to know.
- Confirm that the clinic account is verified and that the required credit card is on file.
- Decide how and when the professional will be paid.
- Check whether the shift should use Fairly Payroll for Temps.

### Before a professional applies

- Confirm that your practice permit and identity information are current.
- Review the clinic, shift time, role, rate, and expectations.
- Check your availability carefully before applying.
- Keep banking and tax information accurate if using Fairly Payments or payroll.

### After a shift

- Confirm the hours worked and agreed rate.
- Retain invoices, pay information, and other records required for your arrangement.
- Process payment using the agreed method and frequency.
- Update relevant shift or account information if circumstances change.
