Cancellation Policy

These rules apply to confirmed temporary dental shifts arranged through Fairly Staffing. A confirmed shift is a shift where a clinic has hired a dental professional.

Clinic cancellations

  • Clinics can post shifts without a fee.
  • We do not charge the placement fee when a shift does not occur because no professional was hired.
  • We also do not charge the standard placement fee when a completed placement does not take place, except for short-notice cancellations.

Clinic cancellation fees

  • If a clinic cancels a confirmed shift with 24 hours or more notice before the scheduled start time, no cancellation fee is specified.
  • If a clinic cancels a confirmed shift with less than 24 hours’ notice, we charge the clinic a $52 per-shift fee.

- The fee applies regardless of the shift duration or role type.

- The standard minimum shift duration for the placement fee is three hours.

What the $52 fee is (and isn’t)

  • The $52 fee is a placement or matching fee, not a stated payment of the professional’s hourly rate.
  • Our published policy does not state that a clinic must pay the professional for a shift canceled before work begins.

How to cancel

If you need to cancel, do so through the Fairly platform as soon as possible so the professional has notice and the shift record is accurate.

Habitual cancellations and no-shows

Habitual short-notice cancellations or no-shows by a clinic can result in termination and banning from the application and services. We may also suspend or remove an account for breaches of the terms, in accordance with our discretion under the Terms & Conditions.

Professional cancellations

If you apply for and are hired for a shift, you are expected to honor that commitment. Apply only for shifts you are confident you can work.

Why minimizing cancellations matters

  • Cancellations should be kept to a minimum because cancellation history affects the clinic’s view of your profile and future booking decisions.

How to cancel

  • If you need to cancel, cancel through the app as early as possible.
  • For all cancellations, you must provide notice and a valid reason in the app.
  • Whenever possible, use the in-app chat to notify the clinic directly before canceling. This gives the clinic more time to find a replacement.

Short-notice cancellations (less than 24 hours)

  • A cancellation made with less than 24 hours’ notice is a short-notice cancellation.
  • It must involve a compelling reason and should be limited to a truly unavoidable situation.
  • We may request supporting documentation, such as a doctor’s note.
  • Unexpected illness, an accident, or another emergency may be considered, but providing a reason does not guarantee that the cancellation will be excused.

Cancellation history and consequences

  • Every cancellation and stated reason is permanently recorded on your Fairly profile.
  • Clinics can review this reliability history before booking you.
  • A pattern of unreliability may lead to a temporary or indefinite suspension, or removal from the platform.

No-shows

A no-show means failing to attend a confirmed shift without notice.

  • A no-show results in immediate suspension from the platform unless there is an exceptional reason, such as a car accident.
  • You are responsible for providing justification if you want the suspension reversed.
  • We decide whether reinstatement is appropriate, and reinstatement is not guaranteed.

Habitual no-shows or short-notice cancellations by either a professional or a clinic may result in termination and banning from Fairly Staffing. No-shows and cancellations remain visible in the applicable professional’s profile or account history.

Rescheduling and replacement coverage

  • Our cancellation rules do not specify a separate rescheduling window, rescheduling fee, or automatic replacement procedure.
  • Treat a requested change to the date or time of a confirmed shift as requiring prompt communication with the other party and Fairly.
  • Do not assume that a rescheduled shift is approved until the updated arrangement is confirmed in the platform.

If a professional needs to withdraw from a shift, cancel in the app immediately and notify the clinic through in-app chat when possible. If a clinic no longer needs coverage, cancel the shift promptly through the platform. Early notice gives the other party the best opportunity to arrange replacement coverage.

  • The standard placement fee is charged to employers after the contractor’s shift is completed.
  • The exception is a clinic cancellation inside the 24-hour window, when the $52 fee is charged even though the shift does not occur.
  • Contractors are not charged a fee for using the services under the current Terms & Conditions.

Subscription cancellations, refunds, and other billing adjustments are handled separately under our pricing and billing terms.
